Speed-to-lead

The time between a new lead arriving and receiving its first meaningful reply.

Definition

Speed-to-lead is the time between an enquiry reaching you and the first real reply going out. An automatic "we got your message" doesn't count; what counts is the first human (or well-trained AI) reply that actually addresses the patient's question.

It should be measured in minutes and broken down by channel, agent and time of day. Out-of-hours enquiries and weekends are usually the weakest points.

Why it matters for clinics

International patients message several clinics at the same time, and the clinic that gives the first meaningful reply usually leads the conversation. A reply that arrives hours later often lands after the patient has started talking to someone else. A clinic that doesn't measure response time can't see this loss.

Example

Reviewing its inbox data, a clinic finds that WhatsApp messages arriving after 7pm are typically answered the next morning. It adds an agent to the evening shift and switches on the AI agent in suggestion mode; late enquiries now get a reply within minutes.
