AI CRM ChiefNEW

Your sales team now has a digital sales manager on duty every day.

AI CRM Chief scans your pipeline at regular intervals. It finds the forgotten lead, the patient waiting at the deposit stage and the treatment plan nobody has touched for days — then tells you plainly who owns it and what needs to happen next.

Sound familiar?

You have a CRM. But nobody opens it every day and asks the hard questions.

Leads go cold quietly

The treatment plan was sent, then nobody called. You find out two weeks later, when the patient has booked surgery with another clinic.

The pipeline isn't the truth

Deals sit in a stage for months; some were moved forward without a single conversation. The board looks great. The bank account doesn't.

Nobody knows who's thriving and who's struggling

You can answer "how many did we sell this month?" But which agent lets leads wait and which one closes fast only becomes clear at month end — and even then it's a hunch.

Daily scan

Start every morning knowing exactly where to look first.

The Chief scans your pipeline against the rules you set and ranks alerts by priority: new leads nobody has picked up, deals waiting at payment, opportunities past your no-contact limit. Each alert says what happened, who owns it and the next step. No pep talk, just the work.

  • Unassigned leads and missed first-contact windows are flagged right away
  • Deals waiting at deposit or payment rise to the top of the list
  • Opportunities stuck in a stage, untouched for days, show up with their owner
  • You set the thresholds, e.g. "alert me if there's no contact 3 days after the plan was sent"

Agent report card

A report card for every agent, built on data, not gut feeling.

The Chief takes the leads created in a period, checks where each one stands today and builds a report card per agent: first-reply speed, follow-up discipline, reach rate and conversion. Instead of "how many did we sell this month?" it answers the better question: "how many of this month's leads became patients?"

  • First-reply time, reach rate, follow-up rhythm and conversion in one table
  • Benchmarked against the team: who needs coaching, who can take more leads
  • Periods still in progress are marked "not yet mature", so nobody is judged too early

A handed-over lead stays on the original agent's card; if it is won, the closer gets the credit.

Fair attribution

The agent who found the lead and the one who closed it — both visible.

In medical tourism a patient often passes through several hands: one agent runs the first call, another takes over during a holiday. The Chief ties the report card to where the lead came from, while alerts go to whoever owns it now. If an agent leaves, the open leads they handed over stay on their card; if one is won, the closer gets the credit.

  • Report cards follow origin; alerts follow the current owner
  • Handovers and reassignments are recorded, so nobody can claim someone else's work
  • Bonus and performance talks start from one shared table, not an argument

Setup

AI maps your stages. You approve.

Every clinic's pipeline is different: "Awaiting photos", "With the surgeon", "Deposit received"… To raise the right alerts, the Chief needs to know what each stage means. During setup, AI suggests how to map your stages to classes such as unreached, reached, payment, won and lost — and a manager has the final say.

  • No need to rebuild your existing pipeline
  • All suggestions on one screen: approve or adjust
  • Thresholds and follow-up rules tuned to your clinic's sales cycle

What the Chief flags

Everything a good sales manager checks, every single day.

Unassigned leads

Enquiries that arrived but nobody picked up, with how long they've been waiting.

Contact breaches

Open deals left untouched longer than your limit, and who owns them.

Payment pending

Patients waiting at deposit or payment — money on the table.

Unanswered conversations

Conversations where the patient's last message never got a reply, on any channel.

Deals to close out

Long-open opportunities that should now be marked won or lost.

Early losses

New leads closed as lost before enough contact attempts were made.

How it works

Your digital sales manager starts work in three steps.

  1. 01

    Pick and map your pipeline

Choose the pipeline to monitor. AI suggests how to classify each stage; you approve.

  2. 02

    Define your team and rules

Add your agents, targets and alert thresholds to match your clinic's sales cycle.

  3. 03

    Read daily, act fast

Start the day with the brief and alerts; open the report cards together in your weekly meeting.

Frequently asked questions

Does AI CRM Chief message patients or change records for my agents?+

No. The Chief monitors and reports; it doesn't message patients, move deals or edit records. An agent or manager always takes the action. For AI that talks to patients, see the AI agents page.

How is it different from reporting?+

Reporting shows you what happened. The Chief tells you what to do about it: which lead needs a call today, who is falling behind on follow-up and which deal should be closed out — each with its owner.

Won't my agents feel watched?+

The rules and thresholds are the same for everyone, and fully transparent. The report card makes good work visible, and because the agent who found a lead and the one who closed it are credited separately, nobody loses credit to someone else. It works well as the basis for weekly coaching.

Do I need to change my pipeline?+

No. The Chief works with your existing stages. During setup, AI suggests a class for each stage and a manager approves or adjusts it.

Does it cost extra?+

Check the pricing page to see which plan includes AI CRM Chief. MedicalGrow never charges per user, so your bill doesn't grow as your team does.

Don't let a single patient slip away quietly.
