Where most clinics are today

Aesthetic patients ask a lot before they decide. Every unanswered question goes to a competitor.

Sensitive photos on personal phones

Body photos sit in agents' personal WhatsApp chats. Nobody knows who can access them — and when an agent leaves, the photos leave too.

Instagram enquiries go untracked

The patient DMs first, moves to WhatsApp, then fills in a form. Three records, one patient, and no clear owner.

Silence after surgery

Once home, the patient is alone with check-up and compression-garment questions. Satisfaction isn't measured and no review is requested.

Procedures and patient questions

From rhinoplasty to body contouring, every enquiry meets the right procedure and surgeon.

Aesthetic patients often consider several procedures together and want to speak with the surgeon before deciding. In MedicalGrow the enquiry is tagged with the procedure from the first message, photos are collected and the online consultation is booked from the calendar.

  • Common procedures: rhinoplasty, breast augmentation / lift / reduction, liposuction and vaser, BBL, tummy tuck, mommy makeover, eyelid surgery
  • Typical questions: how long do I stay, when can I fly, what does recovery look like, can I see before/after photos
  • Conversation AI never diagnoses or quotes a final price — it shares general information and books a surgeon consultation
  • Flag patients interested in combined procedures with tags and report on them separately

Photos and documents

Sensitive photos belong with an authorised team, not on personal phones.

When a patient sends photos on WhatsApp, the attachments stay in the conversation history on their record. Files for the surgeon are organised in patient folders in Media Storage, with access limited by roles and permissions.

  • Conversation attachments are kept with the patient record — photos stay with the clinic even if an agent leaves
  • Patient folders in Media Storage; surgeon and coordinator look at the same files
  • Only use before/after photos in marketing with the patient's explicit written consent — and record that consent as a field
  • Review consent, access and retention policies for KVKK and GDPR with us during setup

Markets and languages

From the UK to the Gulf, talk to aesthetic patients in their language.

Turkey-based aesthetic surgery clinics commonly see patients from the UK, Germany, the Netherlands, France and the US, as well as the Gulf states. The enquiry often starts on Instagram.

Country and source tags

Which market and which ad or post brought the patient sits on the record, so budget follows results.

Agents by language

English, German, French or Arabic-speaking agents see their own patients; assignment rules are configured during setup.

Replies across time zones

Conversation AI answers late-night DMs, asks for photos and suggests a consultation; an agent takes over in the morning.

Instagram and WhatsApp together

Instagram DM, WhatsApp, Messenger, web chat and email in one shared inbox — one record even when the patient switches channel.

KPIs to track

Four numbers an aesthetic clinic manager should check every week.

Tracked with Reporting, pipeline stages and custom-field filters — by source, agent and procedure.

Photo collection rate

What share of new enquiries sent photos for assessment?

Consultation attendance

How many booked online consultations did patients actually attend?

Plan-to-deposit conversion

How many plans turned into deposits — by surgeon, agent and market.

Post-op follow-up

Share of patients with completed check-ups and a satisfaction or review request sent.

Frequently asked questions

Can we store patients' body photos securely?+

Photos stay in the conversation history on the patient record, and you can create patient folders in Media Storage for an organised archive. We recommend limiting access to the surgeon and the relevant coordinator with roles and permissions.

How do we track consent for before/after photos?+

Add a custom field such as "Image-use consent" to the patient record. Marketing only uses images from patients with recorded consent; keep the consent form itself according to your clinic's procedure.

Does the AI assistant give prices or medical advice?+

No. Conversation AI does not quote final prices, diagnose or decide who is suitable for surgery. It shares general information, asks for photos, books a surgeon consultation and hands over to an agent when needed.

How do we handle post-op follow-up?+

In the Surgery & aftercare stage, check-ups live in the calendar and recovery notes on the record. Waiting or unanswered patients stay visible through AI CRM Chief alerts, and you can send a Google review request at the right time.

Do we pay extra for surgeons and assistants?+

No. MedicalGrow has no per-user fees — surgeons, coordinators and assistants are added as unlimited users. You decide who sees what with permissions.
