What is MedicalGrow.ai?

MedicalGrow.ai is a CRM built only for medical tourism clinics. It brings patient enquiries from WhatsApp, Instagram, Facebook and email into one inbox, lets you track every patient from first message to procedure day in a pipeline, shows which ads they came from and measures how your team performs.

Is it really only for medical tourism?

Yes. Pipeline stages, fields, reports and onboarding are designed for clinics that treat international patients: dental, aesthetic surgery, hair transplant, bariatric, eye and IVF. It isn't a fit for other industries.

Which modules are in the panel?

Dashboard, Conversations (unified inbox), Calendars, Contacts, Opportunities (patient pipeline), Reporting, Media Storage and Settings (users, permissions, custom fields, phone, email, integrations and AI agents).

Does it include a website builder, workflow builder or bulk messaging?

Bulk messaging, yes: from Contacts you can send SMS, email and (on the official API) approved WhatsApp templates to selected patients, scheduled or spread out in batches. A website or funnel builder, a workflow builder and a social media planner are not part of the panel; needs such as automatic lead assignment are configured by our team during setup.

What is the AI CRM Chief?

Think of it as a digital sales manager. It scans your pipeline at regular intervals, flags waiting leads, stuck opportunities and unanswered conversations, and produces a scorecard per agent covering response speed, follow-up discipline and conversion.

Pricing & contract

How does pricing work?

You pay one flat price per clinic, with no per-user fees. See current plans and what each includes on the pricing page.

Is there really no user limit?

None. Coordinators, sales agents, doctors and managers each get their own login. When someone joins the team, your bill stays the same.

Do I have to sign an annual contract?

No. You can pay monthly and cancel any time. Annual billing is optional; details are on the pricing page.

We have several locations. How is that priced?

Pricing is per clinic. For multiple locations or brands, contact us and we'll work out the right setup together.

WhatsApp & integrations

How do I connect WhatsApp?

There are two options. The recommended one is the official WhatsApp Business API: approved by Meta, with template messages, multiple users and a number your clinic owns. If you want to start fast, you can also link your existing WhatsApp number in minutes by scanning a QR code.

What's the difference between the QR connection and the official API?

The QR connection lets you start with your current number without waiting for template approval, but it's an unofficial method: Meta may restrict the number, and it isn't suitable for bulk or cold messaging. The official API carries no ban risk and is the right choice for growing teams. We recommend it for most clinics.

Will our number get banned?

When you use the official WhatsApp Business API within Meta's rules, there's no ban risk. With the QR connection Meta may restrict the number, which is why we advise against using it for bulk sending.

Which channels arrive in the inbox?

WhatsApp, Facebook Messenger, Instagram DMs, email and web chat all land in one inbox. Instagram comments and TikTok DMs do not.

Do ad leads arrive in the panel automatically?

Yes. Facebook & Instagram lead forms and TikTok lead forms flow into the panel, and you can connect Google Ads to see ad data in your reports. Google Business Profile reviews and Google/Outlook calendar sync are supported too.

What does the AI agent tell patients?

Conversation AI replies on WhatsApp, Instagram, Facebook and web chat, trained on your knowledge base. In suggestion mode it drafts replies for your agent; in automatic mode it replies itself and hands over to a human when needed. It never diagnoses or quotes final prices; it collects photos and books consultations.

Can I use Lead Radar today?

Not yet. It's in early access. It will find treatment-seekers' posts on public communities such as Reddit and Quora and list them with an intent score. You can join the waitlist on the Lead Radar page.

Security & GDPR/KVKK

Who owns our data?

Patient and conversation data belongs to your clinic. You can export your contact lists at any time.

Can I limit what each agent sees?

Yes. User roles and permissions are set in Settings. For example, you can make sure an agent only sees the patients assigned to them.

What should we keep in mind for GDPR and KVKK?

Health data is a special category of personal data. Getting explicit consent, collecting only what you need and restricting access by role are the clinic's responsibility. The panel supports this with role-based permissions and data export. See the data privacy article in the Help Center: Data privacy.

What happens to conversations when an agent leaves?

Conversations live in the clinic's panel and on the patient record, not on the agent's personal phone. You deactivate the user and reassign their patients; nothing is lost.

Onboarding & support

Who helps us get set up?

Our team sets up your pipeline stages, custom fields, WhatsApp connection and ad integrations with you, and walks your team through the panel.

Can we bring over our patient spreadsheet?

Yes. You can import contacts from a CSV/Excel file, and our team helps with field mapping during the switch. See the "Switch to MedicalGrow" page for a step-by-step plan.

Which languages does the panel support?

The panel works in English and Turkish. You can message patients in any language and route them to the right agent in multilingual teams.

Where do I go for support?

Setup and how-to guides are in the Help Center, and its AI assistant can answer questions too. You can reach our team on WhatsApp, or contact us through the demo form.
